Using Lytho (our project management tool) to make project requests and communicate about ongoing projects is easy. Read on to see how it works.

  • When accessing Lytho for the first time, you will receive an email from Lytho asking you to connect your account. The button to connect your Champlain Google account and Lytho expires within 15 minutes of receiving it.

    After this initial set up, you will be able to log in with SSO Account button, and then 365体育官网 into Champlain using Google.

  • You should automatically arrive at the My Requests tab when you log in. If not, you can find it in the left-hand navigation menu, under the inbox icon.

    Click the Add Request button in the top right-hand corner of your screen. A pop-up will open, asking you to name your request. Choose something descriptive, like Summer Open House Postcard, Anime Club Digital 365体育官网age, etc.

    Once you¡¯ve named your request, select the appropriate form from the drop-down menu.

    • Webmaster Ticket: there¡¯s something on a Champlain webpage you¡¯d like to update, add or remove. Minimum two business day lead time.
    • General Request Form: you need help with a creative project that doesn¡¯t fit into the other categories here. Minimum five business day lead time.
    • Digital 365体育官网age Request: you have images you¡¯d like to include on the campus digital signage system. Minimum one business day lead time.
    • 365体育官网 Directory Update: you¡¯d like to update your bio on the website.?Minimum two business day lead time.
    • Lytho Bug Tracker: something about the Lytho platform is causing you problems; either there¡¯s a bug or it¡¯s missing a feature and you¡¯d like to share your thoughts about how to make Lytho better.

    All the fields marked with an asterisk are required. The more information you can provide, the better Marketing¡¯s intake team can assess how to provide assistance.

  • Once you¡¯ve submitted a request, you can modify until the status changes from Submitted to Accepted. Having an Accepted status mean that the Marketing team has put the project into production.

    While a request is in draft or Submitted status, you can access it from the Submitted by Me tab under Requests in Lytho. Use the Modify Request button to make any changes.

    If your request has been updated to Accepted, you¡¯ll need to communicate with your Client Services contact to discuss adjusting the details of the request.

  • Requests moved to Accepted status become Projects in Lytho terms. You can still access them through your Requests tab, but they are now work Marketing has committed to completing.

    When you click into a project, as below, you¡¯ll see the status of your request and other information about its progress. In the right hand column, you can comment on the project and interact with collaborators.

    When the request is completed, this is also where you¡¯ll be able access the digital version of any deliverables.

  • We use Google Docs to kick off our copywriting process for all jobs. Copywriting review happens via email¡ªwe¡¯ll share a link to the Google Doc.

    If you¡¯re a copyediting reviewer, you¡¯ll be asked to review the Google Doc and choose a review status from a drop-down menu at the top of each section of the Google Doc. If this is your first time reviewing a Google Doc, we can walk you through this process.

    1. Please use ¡°suggesting¡± when making in-line edits so we can understand what language works for you and what needs to be changed.
    2. Once we have a final Google Document, we¡¯ll share that with our creative design, email, or web team so they can build the creative assets you need to meet your goals.
  • Proof copies are reviewed entirely in Lytho¡ªPDFs, images, videos, all digital deliverables. You¡¯ll receive a notification from Lytho that there¡¯s a proof available for your comments, and it can be accessed from the Reviews tab on the left-hand navigation bar.

    Click on the proof name and the Lytho proofing interface will open. This is where you can make comments, annotate specific points in an image or document, and eventually approve the proof or send it back for revision.

    The annotation tools, pictured below, let you toggle visibility of comments, drag around to different parts of the image, measure elements, place a dot and leave a comment in the right-hand column, draw an arrow to an element and comment, draw a box around something to comment on it, draw free hand, choose the color of your annotations, rotate the proof, and zoom in and out on it.

    The comment section on the right is where you can leave notes, read responses from others and have conversations about the proof.

    When you¡¯ve reached a decision about the proof, you have several options available when you click the Make Decision button in the bottom right corner:

    • Approve As Is: You are completely happy with the proof. It moves forward in the project.
    • Approve with Changes: You¡¯ve made notes of what needs to change, and the proof can move forward without any more review on your part.
    • Change and Resubmit: You have noted changes, and want to be able to see the changes implemented before signing off.

    After you¡¯ve made a decision, click Apply. Then click Submit.
    **If you don¡¯t submit the review, it will sit in your inbox and not go back to the creative team for next steps.
